What is Todoist?

Todoist is a web-based productivity app designed to help users keep track of all their important tasks and projects across 15+ platforms and in 20 different languages. With Todoist, individuals and teams can manage tasks and collaborate on shared projects on the web, mobile devices (iOS, iPad, Android), desktops (Windows, Mac), email inboxes (Gmail, Outlook), and web browsers (Google Chrome, Firefox, Safari). Data is synchronized across all platforms in real-time, even when offline.


Todoist helps break large projects down into smaller, more manageable chunks with sub-projects and sub-tasks. With a tap, users can add tasks, set reminders, enjoy multiple views such as calendar, list, and board, filter tasks by work and personal life, and collaborate with a team on projects.


Users can also combine labels, filters, and sorting to create workflows that suit their needs. Adding one-off or recurring tasks on the go can be done with natural language input, such as "Review latest product design on Tuesday" or "Check marketing spend every last Friday at 10am." Todoist also offers templates to help tackle tasks from meeting agendas and accounting tasks to marketing campaigns, content calendars, and event planning.


Todoist integrates with a range of third-party applications, including Google Calendar, Dropbox, and Zapier, to centralize tasks and streamline task management workflows.

Todoist is excellent if you find yourself consistently falling behind schedule or at a loss at how to prioritize and juggle your many tasks and responsibilities. If you find yourself consistently failing to meet deadlines, or you have an employee who seems to struggle with prioritization of responsibilities, then this is a great tool to use.

Working at a school, some times of the year are busier and crazier than others. During a hectic time of year, Todoist acts as a "second brain" for all of the small tasks that need to be completed, alongside the larger projects that are taking priority at the time. For example, Open Enrollment is a crazy time of year and in 2021, we changed providers completely. This meant that instead of the easier, "passive enrollments", we were bringing on an entire new book of information for our employees. Many had questions and concerns that required our investigative work with our Brokers to find the best answers for our people. Todoist was a life-save for me as to not loose track of questions to ask or ongoing issues that are awaiting resolution. Because of the wonderful way to document in Todoist, I was able to pull information that an employee approached me with but did not fully remember she did so.

I've used a few different systems, and I've found this one to be the easiest to pick up. I find other systems are overkill and offer a wide variety of features that are good in theory, but never get utilized. Todoist keeps things simple for me.
